Guidance for Capture Inbox users
Before you capture material
Only submit material that you have the right and lawful basis to record, upload, import, transcribe, analyse, store, and use. This includes meetings, calls, interviews, voice notes, audio, video, transcripts, documents, PDFs, and URLs.
People in recordings and conversations
Before recording or submitting a conversation, you are responsible for providing any notices and obtaining any consents or permissions required by the applicable law and the circumstances. Requirements can differ depending on where people are located, the nature of the conversation, employment or organisational rules, personal information involved, and how the material will be used.
Deletion requests
Deleting your source material. Where permanent source deletion is available, use the authenticated Delete Source control in your workspace. Access to the source is revoked while the original uploaded file, transcript, and associated Knowledge Vault information are removed from active systems and verified. This does not automatically delete independently saved drafts, scheduled or published posts, billing records, external provider copies, backups, or an original file held by an import service.
Veldt OS does not obtain participants' permissions on your behalf. Checking an acknowledgement box confirms your responsibility to consider and obtain what is required; it is not evidence that another person actually consented.
Third-party content
Uploading someone else's recording, transcript, document, image, or URL requires an appropriate lawful basis and the necessary rights. Do not submit material obtained unlawfully, confidential material you are not authorised to use, or content that would breach a duty owed to another person or organisation.
How Veldt OS uses submitted material
Veldt OS processes submitted material to provide the requested workspace features, including storage, transcription, organisation, Knowledge Vault analysis, and user-requested content preparation. Access remains subject to workspace permissions and the Privacy Policy. Connected providers may process information as described there and under their own terms.
Uncertain situations
If you are unsure whether a recording or document may be submitted, pause before uploading it and obtain appropriate advice or permission. You can contact shifaan@veldtos.com for product questions, but Veldt OS cannot decide whether your particular recording was lawful or whether another participant consented.
